Project Policy

The following policies apply to all transcription and transcript refinement services. By submitting files, approving quotations, or making payment, clients acknowledge and agree to the terms below.

Accuracy & Human Review

All transcripts are carefully reviewed and edited by a human reviewer using AI-assisted transcription workflow.

  • Reasonable efforts are made to ensure transcript clarity, formatting consistency, punctuation, and speaker identification.
  • Transcript accuracy may be affected by poor audio quality, overlapping dialogue, background noise, heavy accents, technical terminology, or unclear speech.
  • Absolute word-for-word perfection cannot be guaranteed for difficult or low-quality recordings.
  • Industry-standard transcription practices are applied throughout all projects.
  • Minor differences in interpretation, punctuation, filler words, or formatting style do not constitute project failure or grounds for refund.

Revision Policy

Reasonable revisions are available for transcript sections containing clearly identifiable transcription errors.

  • Revision requests must be submitted within 7 days of delivery.
  • Clients should provide timestamps or specific sections requiring review whenever possible.
  • Revision requests related to audio clarity limitations may not always result in changes.
  • Formatting changes or additional project scope requested after delivery may be treated as separate work.
  • Requests based solely on subjective preference or unsupported claims of “inaccuracy” may be declined after review.

Turnaround & Delivery

Estimated turnaround times are discussed before project commencement and depend on project size, audio complexity, and workload availability.

  • Rush projects may incur additional fees depending on deadline requirements.
  • Turnaround estimates are based on normal workflow conditions and may occasionally require adjustment for difficult audio.
  • Delivered transcripts are considered accepted unless concerns are communicated within the revision period.
  • Files are delivered digitally through agreed communication channels or platforms.

Confidentiality & NDA

Client confidentiality is treated seriously throughout all stages of the project workflow.

  • All recordings, transcripts, and project materials are handled confidentially.
  • NDA-ready support is available upon request.
  • Files are not shared, resold, or distributed to unrelated third parties.
  • Clients remain responsible for ensuring they have legal permission to share submitted recordings for transcription purposes.

Transcription is a human-reviewed interpretive service influenced by audio quality, speaker clarity, recording conditions, and project complexity. Reasonable professional standards are applied to all work, and all project-related concerns are reviewed fairly and professionally.
